Job Description
Assist in developing project plans, including defining project scope, objectives, timelines, and deliverables.
Collaborate with the senior project manager to allocate resources, create work breakdown structures, and establish project budgets.
Coordinate project activities, ensuring tasks are assigned, monitored, and completed according to schedule.
Assist in the procurement of materials, equipment, and subcontractor services needed for project implementation.
Support the monitoring of project progress, tracking key milestones, and identifying any deviations from the plan.
Assist in the management of project risks and issues, implementing appropriate mitigation strategies.
Collaborate with the project team to ensure compliance with project specifications, codes, and regulations.
Generate regular project status reports, highlighting progress, budget utilization, and any potential risks or concerns.
Coordinate project activities and operations to secure efficiency and compliance with company policies.
Arrange meetings and appointments for the program manager.
Assist in the creation of project plans, timelines, and budgets.
Submit timely reports as assigned.
Assist and coach the team.
Coordinate project activities and ensure that all teams members are aware of their responsibilities and deadlines.
Collaborate with team members to identify and implement process improvements.
Ensure that project deliverables meet quality standards and are delivered on time and within budget.
Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including official correspondence, memos, resumes, and presentations.
Assist the program and project managers with tasks to ensure efficiency within the project.
Tracking the work performed.
Ensuring that the correct items/materials are requested are documented and requested for the various sites.
Support the Project Managers by taking on supervised support tasks on larger projects, as and when necessary.
Assist in the establishment and maintenance of project documentation, including project plans, meeting minutes, and status reports.
Photocopying and scanning documents.
Accurate capturing of job cards.
Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
Recording and updating databases (gathering data of meter readings from various sites).
Compiling spreadsheets and reports.
Reporting on all activities.
Maintain all filling processes.
Conduct research on projects as requested by the Operations and Program Manager.
Compile performance reports on all projects/tenders.
Analyse the Inspector report to determine the equipment material to be used.
Create a correct job card for the plumbers.
Create accurate quotations for the clients.
Follow up with plumbers on site.
Send field work feedback report.
Keep track of site purchase orders
