Job Description

Job Title: Executive Administrator
Company: Irmas Security
Location: Durban
Reports to: Director/Management

Job Summary:
Responsible for providing high-level administrative support to the executive team, ensuring smooth daily operations, and coordinating key company activities. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion. The Executive Administrator acts as a liaison between executives and internal or external stakeholders.

Key Responsibilities:

Administrative Support:
Manage executive calendars, schedule meetings, and coordinate appointments.
Prepare meeting agendas, take minutes, and follow up on action items.
Draft and edit correspondence, reports, presentations, and other documents.
Office Management:
Oversee the daily operations of the executive office, ensuring a well-organized and efficient environment.
Handle office supplies, equipment, and facilities management.
Ensure the office complies with company policies and procedures.
Communication:
Act as a point of contact between executives and internal/external stakeholders, managing communication and inquiries.
Prepare internal and external communications on behalf of the executive team.
Project Coordination:
Assist in the planning and execution of company projects, events, and initiatives.
Track project deadlines, deliverables, and ensure completion within the required timeline.
Travel Arrangements:
Organize and coordinate travel plans, accommodations, and itineraries for the executive team.
Confidentiality:
Maintain strict confidentiality and discretion with sensitive information and documents.
Financial Support:
Assist with budgeting, expense reports, and tracking executive team expenditures.
Research and Data Analysis:
Conduct research and gather data for reports or presentations as required by the executive team.

Qualifications:

Grade 12/ Matric
Proven experience as an executive or administrative assistant.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work under pressure and meet tight deadlines.
Strong interpersonal skills and the ability to work collaboratively across all levels of the organization.
High level of professionalism and confidentiality.

Additional Skill:

Knowledge of security industry practices is advantageous.
