Admin and Front Office Assistant to Trust Officer
A client-focused Trust and Investment company in Knysna has an opening for an experienced Admin & Front Office assistant.
The Role
• The successful candidate will provide front-line support for the Knysna office team.
• Responsibilities include managing reception, switchboard, and boardroom bookings to ensure smooth and efficient front-line operations.
• Strong emphasis on client interaction.
Key Requirements:
• Grade 12
• Previous experience in a similar role is necessary.
• Excellent verbal communication skills with a clear and distinct telephone manner.
• High degree of accuracy and attention to detail.
• Ability to work under pressure in a high-volume environment.
• Possess excellent organizational skills and able to work independently
• Have intermediate to advanced proficiency in MS Office Suite.
• Fluency in English is essential; proficiency in a second language is preferred.
• Own vehicle preferred with a valid driver's license.
Key Responsibilities:
• Greeting and welcoming visitors.
• Managing the switchboard and office WhatsApp service.
• Receiving all incoming calls and taking messages.
• Coordinating facility bookings as well as Events.
• Managing diaries and travel bookings.
• Performing high-volume general office administration.
• Data capturing on in-house systems.
• Managing electronic and hard copy filing related to investment administration.
• Maintaining advisory records.
• Providing general secretarial support.
• Coordinating office supplies, cleaning, and post.
