Job Description

Position: Operations Administrator
Company: General Heavy Marine (Pty)Ltd
Location: Cape Town
We are looking for an Operations Administrator to join our team. The ideal candidate will be responsible for the support day-to-day operations by coordinating administrative tasks, maintaining records, and ensuring smooth workflow across departments. The ideal candidate must be organized, detail-oriented, and able to multitask effectively in a fast-paced environment.
Duties And Responsibilities: (But not limited to)
• Collect all job cards and time sheets from the previous day and ensure they are all received.
• Capture and update maintenance records, collect stock outs for costing, save job cards with all documents and pictures on the system, and file upon completion
• Prepare chargeable quotations, send for approval, forward to the customer, and update with the PO number once received
• Update Job Cards, Time Sheets, Overtime, Service History, machine Hours, completed machine services posted on the group daily.
• Keep record of all quotes, update list daily.
• Check Customer payment and Update Chargeable Commission list monthly.
• Doing monthly Service list after machine hours all approved – JHB, PE, EL, CPT & DBN.
• Request and update machine hours on the 28th of each month.
• Coordinate the monthly service plan with the Parts Department and Technicians, ensure timely service completion, and send the schedule to PE, EL, CPT, and DBN
• Complete and get approval for monthly overtime, performance bonus, team bonus, chargeable commissions, and costings, then forward to HR/Payroll once approved
• Any other task requirements from management
Requirements
• High school certificate or equivalent.
• At least 1-2 years of experience in an operation’s administrative role, preferably within a business-services environment.
• Knowledge of port or automative machinery is preferred.
Skills
• Interpersonal Skills- ability to communicate with various departments.
• Attentive to detail and organizational skills.
• Adaptability – the ability to work in a fast-paced environment.
