Job Description

A Kloof based Spa is looking for an enthusiastic Reception/Admin Lady to join their team. The duties will include but are not limited to:
• Opening in the morning if not already done
• Answering all forms of contact: e-mail, WhatsApp, telephone and cell phone calls
o Friendly yet professional engagement
o All written communication (WhatsApp / E-Mail) with client's name, full sentences, correct spelling proper punctuation and capital letters where appropriate
• Reservations - input accurately into the online Fresha Reservations System (correct name and number of the guest, treatments, therapist and room allocation is essential)
• Confirmation of Reservation via WhatsApp immediately (irrespective of a verbal or written booking request)
• Preparing treatment dockets for therapists for the hand over to be seamless (ie the therapist already knows which treatments they are performing and are prepared)
• Greeting and signing in guest on arrival, confirming with them their reservation details and thereafter handing over to the correct therapist for their treatments
• Introducing therapists to their guest and ensuring treatments start timeously
• Keeping track of bookings running on time (awareness of the time and when you should be expecting the clients to return to reception for check out)
• Taking payments from clients on completion of reservation (standing to accept payment as the desk is large)
• Offering to rebook the guest for their next booking and then sending the written confirmation via WhatsApp immediately
• Reminders of Reservations the day before (gives the client the opportunity to make advance changes and us the opportunity to fill any cancellations with new enquiries)
• End of day cash up of card machines, cash, EFT and Zapper payments and placing cash up book and cash in the locked Storeroom for reconciliation by admin the following morning
• Preparing for following day's bookings
• Sending the Staff Roster for the following day out on the Staff Group
