Job Description

You will provide essential administrative support to the Executive and Managing Directors, as well as to the entire organization. This role combines administrative organization with high-level executive support, offering a unique opportunity to contribute to our continued success.

Key Responsibilities:
Company Administrative Duties:
• Organise and prepare agendas for management, committee, and board meetings.
• Prepare minutes and maintain official records of these meetings.
• Ensure compliance with legal and regulatory bodies, including filing necessary documents with government authorities.
• Monitor changes in relevant legal and regulatory compliance environments.
Office Management:
• Develop and implement office policies and procedures to enhance efficiency and productivity.
• Oversee the smooth operation of administrative workflows, including facilities management, procurement, and vendor management.
• Monitor asset registers and insurance compliance.
Executive Support (PA to the Managing Director):
• Act as the primary point of contact for internal and external stakeholders for the company MD.
• Manage the MD’s calendar, appointments, and travel arrangements.
• Prepare and edit correspondence, communications, presentations, and other documents on behalf of the MD.
• Assist in preparing reports, presentations, and materials for board meetings and other high-level engagements.
Financial Administration:
• Assist with budget preparation and financial monitoring.
• Process invoices, expense claims, and other financial transactions.
• Coordinate with the finance team on financial reporting and compliance matters.
• Format and prepare Financial Reports with Overall Unit Reports.
Human Resources Support:
• Support HR functions such as recruitment, onboarding, and staff orientation.
• Maintain HR records and assist with payroll administration as needed.

Qualifications and Skills:
• Degree in Business Administration, Management, or a related field.
• Proven experience in company legal and compliance duties and office management.
• Strong organizational skills with the ability to multitask and prioritize workload effectively.
• Excellent communication and interpersonal skills.
• Proficiency in office software (e.g., MS Office Suite) and familiarity with basic accounting principles.
• Attention to detail and discretion when handling confidential information.
• Ability to work independently and as part of a team in a dynamic, fast-paced environment.
Salary:
30.000,00 ZAR Monthly
