Job Description
This position will be shared between our company and a separate bookkeeping company, which operates independently with its own management. While we are not branches of the same organisation, we’ve agreed to collaborate in sharing the cost of this role to meet both companies’ needs. Both companies are in Somerset West and are in-office positions.
Key Responsibilities:
Manage and maintain accurate financial records up to the Trial Balance.
Process day-to-day transactions, including accounts payable and receivable.
Reconcile accounts and prepare financial statements.
Assist with VAT and other regulatory filings when needed.
What We’re Looking For:
Proficiency in Xero is essential.
Strong understanding of bookkeeping processes and accounting principles.
Proven ability to prepare and manage books up to Trial Balance.
Knowledge of Xero's costing module is a big plus.
Exceptional attention to detail and excellent organizational skills.
A proactive and independent approach to problem-solving.
Tasks are divided as follows:
Location 1: Our Bookkeeping Company
• 3 days per week, full-time, 8:00 to 17:00.
• Perform bookkeeping tasks up to trial balance.
• Manage payroll using SimplePay.
• Work on Xero (proficiency required)
Location 2: Our Company – Harewood projects, Cabinet makers and joinery
(At our company, the role will involve basic bookkeeping as well as general office administration tasks, extending beyond purely financial work. Please read through and make sure you are willing to also do these tasks)
• 2 days per week, full-time, 8:00 to 17:00.
• Manage books to trial balance.
• Process weekly wages based on written timesheets.
• Track staff loans, overtime, and print payslips.
• Capture invoices and slips into Xero.
• Keep track and report weekly on expenses per client (material bought)
• Source material pricing when required (Phone or email to get prices on material or products).
• Maintain inventory of regularly used materials and ensure stock availability (Basic stock of screws, silicone, glue and other consumables we use a lot of).
• Oversee and manage the driver’s schedule.
• Place orders with suppliers and follow up on deliveries, when required.
• Handle basic HR tasks, including contracts, appointment letters, disciplinary processes, and staff sourcing.
