Job Description
TO START IMMEDIATELY OR AS SOON AS POSSIBLE
One of our large Property Investments clients based in Midrand are urgently in need of a, professional, driven, someone who uses their own initiative and well-spoken Receptionist/Admin Assistant within the Property Industry to start immediately, or as soon as possible.
KNOWLEDGE OF PROPERTY SALES AND RENTALS PREFERABLE
Salary: R9 500 depending on experience within the industry
Working Hours: Monday to Friday 07:00-16:00; (Have to be at work at least 15min before official start time every day)
Would be better if the person stays either in Midrand or direct surrounding areas to avoid transport issues or far distances to travel to work
Job Purpose:
As a receptionist you will be the first point of contact for the Company and you will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all Receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner
Requirements:
Grade 12
Always neat and presentable appearance is necessary as you are the 1st contact and impression of the Company at Reception
Must be Proficient in English
Computer Literate, especially in MS Excel
Knowledge of Property sales and rentals preferable
Must be extremely well spoken in English.
Preferably non-smoker, as this position does not allow for smoke breaks to be taken during working hours
Must have driver’s license and own transport.
Duties:
Serve visitors by greeting, welcoming, directing and announcing them appropriately
Answer, screen and forward any incoming phone calls while providing information when needed
Receive and sort daily emails/mail/deliveries/couriers
Arranging Courier Services as and when needed
Maintain security by following procedures and controlling access (office visitors)
Update appointment calendars and schedule meetings/appointments
Perform other clerical receptionist duties such as filing, photocopying, scanning, collating, and binding
Handle key/remote lists for new tenants, agents and maintenance
Show visitors to the boardroom (offer and make coffee/tea/water, etc.) (Check boardroom before and after every meeting to ensure that it is clean, neat and tidy)
Other administration tasks as and when needed by Finance Department
Managing rental enquiries across all commercial and residential properties
Managing the relationship with the rental client from enquiry up to signing of lease: Enquiry; Gathering all documentation for application and credit checks; Booking the lease signing once application is approved and lease agreement drawn up; Explaining the process from take-on to exit and introducing the relevant departments and contact points for the various needs (Billing, Maintenance, etc.)
General Rental admin assistance
Communicating, feedback and reporting to the various staff that are involved in rentals
Completing Credit Applications for new Suppliers
Receiving and distributing office/site stationery – get quote, approval and then order
Checking of windows, lights and aircons in boardroom and general areas before leaving every day
All Asset Register listings and numbering to be sorted and kept up to date
Email rental vacancy schedule to agents on a weekly basis
