Job Description

22 On Sloane is the largest startup incubator and entrepreneurial hub in Africa, that is committed to fostering innovation, creativity, and entrepreneurship. With our flagship campus in Bryanston, Johannesburg, we are expanding our footprint to Cape Town, where we will continue to empower aspiring entrepreneurs and nurture the growth of startups.
Role Overview: The Hub Coordinator plays a pivotal role in ensuring the smooth operation of our campus and supporting the Hub Manager in various tasks. As the first point of contact for visitors and members, you will also assist with reception duties. Additionally, you will contribute to event coordination and play a key role in fostering our ecosystem and community-building efforts.
Key Responsibilities:
Reception and Front Desk:
• Welcome visitors, members, and guests to the campus in a professional and friendly manner.
• Manage incoming calls, emails, and inquiries, and direct them to the appropriate person or department.
• Maintain the reception area, ensuring it is clean, organized, and well-presented at all times.
Administrative Support:
• Provide administrative assistance to the Hub Manager, including scheduling meetings, managing calendars, and coordinating appointments.
• Assist with general office tasks such as filing, photocopying, and data entry.
• Handle incoming and outgoing mail and deliveries.
Events Sales & Coordination
• Promote and sell available event spaces and packages to potential clients and organizations.
• Liaise with clients to understand their event requirements and preferences, providing tailored solutions and recommendations.
• Coordinate all aspects of event planning and execution, including venue setup, catering arrangements, audiovisual equipment setup, and staffing.
• Ensure seamless event operations by managing logistics, timelines, and vendor relationships.
• Assist with event marketing and promotion efforts to maximize attendance and engagement.
• Track event inquiries, bookings, and revenue, providing regular reports to management.

Facilities Management and Coordination
• Collaborate with the Facilities team to ensure the cleanliness, maintenance, and functionality of campus facilities.
• Assist in managing space bookings, scheduling, and allocation of shared spaces.
• Conduct regular walkthroughs to identify any maintenance issues or safety concerns.
• Coordinate with external vendors and contractors for facility repairs, maintenance, and improvements.
• Manage facility-related documentation, including contracts, permits, and inspection reports.
• Implement and enforce facility policies and procedures to ensure compliance and safety standards.

Membership recruitment
• Develop and implement strategies to attract and recruit new members to the hub.
• Conduct outreach efforts to target potential members through various channels, including networking events, online platforms, and industry partnerships.
• Showcase the benefits and value proposition of hub membership to prospective members, addressing their needs and preferences.
• Manage the membership application process, including screening, onboarding, and orientation for new members.
• Maintain a database of prospective members and track conversion rates and membership growth.
• Collaborate with the sales and marketing team to develop promotional materials and campaigns to attract new members.
• Conduct property tours and presentations to showcase the facilities and amenities of the hub.
Ecosystem and Community Building:
• Engage with members of the community to foster connections, collaboration, and knowledge sharing.
• Assist in organizing community-building activities, such as meetups, networking events, and mentoring sessions.
• Maintain relationships with stakeholders, partners, and external organizations to enhance our ecosystem.

Qualifications and Skills:
• Minimum requirements: Diploma in Business Administration, Sales and Marketing or related qualification
• Project Management qualification (added advantage)
• Previous experience in a receptionist or administrative role is preferred.
• Strong communication and interpersonal skills, with a customer service-oriented approach.
• Excellent organizational and multitasking abilities, with the ability to prioritize tasks effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic computer skills.
• A proactive attitude and willingness to take initiative in a fast-paced environment.
• Passion for entrepreneurship, innovation, and community building.
• Ability to work collaboratively as part of a team and independently when required.
Salary:
15.000,00 ZAR Monthly
