Job Description

The position requires an individual who is an organizer, accurate, punctual, with excellent communications and computer skills.
Experience and qualifications;
Minimum grade 12
Computer Literacy
3 years administrative background (Previous HOA experience will be an advantage)
GLOCMS and PAXTON experience (Added advantage)

Key Skills and Responsibilities
• Communicating with the Board of Directors, Owners, residents and service providers relating to the Estate, responding to queries timeously and providing feedback to the Estate Manager on issues needing further attention
• Maintaining the owners and tenant’s database and ensure that changes are made from time to time
• Manning the Estate office.
• Provide general assistance to the Estate Manager
• Maintain a filing system for the Estate office
• Scheduling appointments between the Estate Manager & residents and taking Minutes
• Assist the Estate Manage in enforcing the Estate rules and code of conduct to ensure compliance with met (Previous Estate Management Experience will be added advantage)
• Welcoming the new Homeowners and ensure that new residents complete the necessary documentation, ensuring access control and visitors registration are followed in line with the estate
policies and procedures (knowledge of GLOCMS and PAXTON SYSTEM will be added advantage)
• Liaising with the finance, legal department or Estate Manager whenever there’s an account query
• Ensuring that notices are sent to residents via email and GLOCMS.
• Handling clubhouse bookings.
• Handling and recording Petty cash and filing receipts
• Liaising with service providers as and when needed.
• Assisting the HOA staff and security as and when needed.
• Facilitating and administering the builders’ documents and necessary regulations before, during and after building operations.
• Sending monthly reports to the Estate Manager.
