Job Description
• Drafting of general correspondence regarding the day-to-day requirements of the portfolio in accordance with the company’s standard correspondence templates where applicable.
• Ensuring that critical administrative tasks are performed to allow the full functioning of the portfolio.
• To ensure that all documentation about the tenants and buildings are correctly and timeously filed manually and electronically.
• Ensure that an excellent customer service is provided to tenant.
• To ensure tenant satisfaction through resolving tenant queries on time
Leasing:
• Drafting LAF’s (Lease authorization forms)
• Renewal letters
• Tracking status of all Leases and renewal letters.
• Ensure that leases are loaded 100% correctly on MDA.
• Prepare lease pack.
• Handling tenant queries
• Conducting credit and reference checks.
• FICA document collections.
• To establish and maintain effective support services for the property management functions, primarily the administration of the Agreement of Lease.
• Ensuring that each agreement of lease within the portfolio is comprehensively completed, signed appropriately and correctly, provided to the respective tenant and stored safely within the company’s lease filing facility.
• Vacancy schedule – update the schedule on monthly bases.
• Accurately upload relevant leasing documents onto MDA in excellent time
• Timeous communication to the relevant department on new lease
• Renewals loaded onto MDA as well as tenants vacating.
Documents FICA:
• Conducting credit and reference checks.
• FICA document collections.
Utilities:
• Ensuring that adequate steps have been taken to recover utilities, municipal charges, and other operating cost expenditures, where necessary.
Arrears:
• Call tenants for collection/arrears.
