Job Description
This role of Sales & Ops Administrator provides the structure and management to a small team of technicians. This team is tasked with ensuring that our customers get their professional catering equipment installed and repaired quickly, and effectively.
This role is critical in the team and requires a mature person who is clear, organized and works well with multiple priorities. He/she will need to facilitate the workflow of the department and work well with others. Ultimately, the Technical Administrator has a ‘buck stops here’ role and takes ultimate ownership for client satisfaction.
1. Liaise with suppliers
• Develop and maintain good working relationship with suppliers
• Practical knowledge of suppliers
• Ensuring sufficient stock of key spares
2. Serve Existing Customers
• Receive and log all calls
• Complete quotations
• Follow up and close the sale.
• Corresponding with customers on status of repair, possible delays and completion
• Courtesy calls obtaining information on repairs done, possible future repairs and general status of equipment.
• Deal with Corporate customers, working within their procurement and reporting systems.
3. Work Efficiently with Internal Accounts Department
• Track all supplier invoices
• Make sure Job cards are up to date and processed
• Tracking reports on an ongoing basis to ensure that internal departments are on the same page.
• Give sales reports on a monthly basis.
4. Grow New Customers
• Identify lapsed customers and take initiative to contact them and offer a service to them
• Track sales and warranty periods to check when items/kitchens that we have sold are due for service and offer to provide it.
• Identify and visit potential large customers
5. Administrating the Technical Department
• Ability to direct technicians to various jobs, and ensure that they attend timeously and do the work efficiently.
• Ensure that the Technicians have a system that makes certain that they have the correct spares and tools with them at all times.
• Following up on completion of jobs
• Keep ongoing reports on job card tracking, technicians’ hours and progress on department meeting targets
• Take final responsibility for the job being done, and the client being happy.
The successful candidate will have proven experience in a Customer Service environment working very closely with Clients and internal staff. Experience working as support to a technical team would count in your favor. Experience in sales and technical administration is important.
