Job Description

VACANT POSITION – Front Office Manager
Kedar Heritage Lodge, Conference Centre & Spa, nested in the beautiful surrounding of the Rustenburg area, is seeking a highly skilled and dynamic individual to join our dynamic team as a Front Office Manager. This key leadership role will be instrumental in overseeing the smooth and efficient operation of the overall departments, including Switchboard, Front Desk, Night Audit and Guest Relations. As the Front Office Manager, you will make sure that customers, and visitors feel welcome and are well looked after. Your role will include overseeing employee schedules, front office staff training, and the administration of the Front Office Department.
The responsibilities will include:
• Train, supervise and evaluate front office staff to ensure adherence to all Company policies and standards.
• Manage the front office team, concierge and porters to meet and exceed budgeted targets as well as guest satisfaction and expectations.
• Ensuring a smooth check-in and check-out process for guests, minimizing wait times, and resolving any issues that may arise during these procedures.
• Coordinate with other departments to ensure seamless service delivery.
• Handling customer complaints and special requests with professionalism and patience.
• Coordinate staffing schedules to ensure adequate coverage and efficient operation during all shifts and managing other HR related tasks.
• Maintaining an orderly, organized and efficient appearance throughout the reception area.
• Monitoring stock and ordering office supplies, including stationery and information leaflets.
• Preparing daily/ weekly/monthly management reports on customer feedback, bookings and cancellations.
• Review arrival report daily and prepare revenue and occupancy forecasting
• Promptly handle, follow up and secure any lead received by the events or reservations department.
• Monitor and coordinate group rooming lists, check-ins, check-outs, and any other activities with the Sales Department and Room Divisions Manager.
• Coordinating room reservations and ensuring accurate and efficient booking procedures, to maximize room occupancy and revenue.
• Maintain friendly relations with commercial clients and make appointments to visit at least a minimum of 5 corporate/commercial clients monthly to ensure new business is generated.
• Enforcing all cash handling procedures, reconcile daily transactions, and ensure in billing and invoicing processes.

Minimum Requirements:
• This is a live-in position based at Kedar Heritage Lodge
• Matric essential
• Hospitality Management Qualification Essential
• 2-3 Years Front Office management experience essential.
• 5 Years+ Front Office experience
• Experience with the Innkeeper (Cimso) accounting software – advantageous
• Fully computer literate with MS Office tools.
• Financial acumen and budget management skills to ensure optimal utilization of resources.
• Hands-on Problem-Solving approach and the ability to remain calm under pressure.
• Leadership skills and ability to delegate effectively a team player who leads by example.
• Effective interpersonal and communication skills with members of staff as well as guests of the hotel.
• Presentable and well spoken.
• Flexibility to work in a fast-paced environment, including weekends, holidays and the ability to work shifts.
• The ability to remain positive and focussed in a fast-paced environment
• Strong leadership and people management skills.
• Excellent planning and organizational skills.
• Great attention to detail
• Proactive in approach
• Driver’s License - beneficial
• First Aid 1,2/3 would be an added advantage.
• Knowledge of best practices for safety and sanitation
