Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide efficient administrative support, manage payments and payroll processes, and ensure the smooth operation of our office.
Key Responsibilities:
Answer and direct phone calls, emails, and other correspondence professionally.
Schedule and coordinate meetings, appointments, and travel arrangements.
Prepare, format, and distribute reports, presentations, and other documents.
Maintain and update office files, records, and databases, ensuring confidentiality.
Process payments, invoices, and expense reports accurately and on time.
Assist in managing payroll, including employee timesheets, salary disbursements, and statutory deductions.
Reconcile financial transactions and prepare basic financial summaries as required.
Manage office supplies inventory and place orders as needed.
Greet and assist visitors, ensuring a positive and professional impression.
Support the team with various administrative tasks, including data entry and record-keeping.
Assist in planning and organizing company events and activities.
Ensure the office environment is clean, organized, and efficient.
Qualifications:
High school diploma or equivalent.
Proven experience in an administrative or office support role.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational and time management skills.
Familiarity with payroll systems and processes.
Basic knowledge of bookkeeping or accounting principles.
Excellent verbal and written communication skills.
Ability to work independently and handle multiple tasks simultaneously.
