Job Description
What You’ll Do:
As the Group Travel Specialist, you will be the linchpin in orchestrating premium travel experiences. Your role will include:
Quoting & Reservations:
o Process and manage all service reservations, ensuring rapid response and timely confirmations to client requests.
o Accurately load reservations and managing all aspects of documentation, from itinerary planning to compiling travel packs, vouchers, and rooming lists.
o Maintain continuous communication with overseas agents regarding reservation statuses, payment requirements, and deadlines—ensuring every detail aligns with our clients' high expectations.
Client & Supplier Care:
o Provide exceptional client care by keeping in touch with travellers throughout their journey and swiftly handling any concerns or emergencies.
o Build enduring relationships with suppliers to secure the best rates and service quality, ensuring our clients receive unrivalled value.
• Administration & Team Collaboration:
o Uphold rigorous administrative standards and adherence to procedural policies by submitting accurate, timely reports.
o Collaborate proactively with colleagues and adapt to support team needs beyond regular hours when required.
Continuous Improvement & Learning:
o Embrace ongoing personal and professional development by participating in industry events, workshops, and training—staying ahead of the curve on travel trends and product knowledge.
What We’re Looking For:
Experience & Expertise:
o 3-5 years in inbound tourism, with a strong background in managing groups and group series travel arrangements.
o Proven ability to manage complex, detail-oriented costing and itineraries for group travel.
o Solid understanding of South African and regional geography, accompanied by excellent logistical and planning skills.
Qualifications:
o Matric/Grade 12 is essential; a Travel & Tourism qualification is highly desirable.
o Proficiency with Tourplan is preferred, along with an understanding of the German market and customer needs.
Key Competencies:
o Exceptional attention to detail coupled with a mature, professional demeanour when engaging with clients and colleagues at every level.
o Strong problem-solving and negotiation skills, excellent both in written and verbal communications.
o Ability to manage confidential information with tact and discretion.
