Admin Supervisor (Automotive Industry) – Selby (Johannesburg)
Salary: R15 000 – R19 000 (Negotiable depending on experience)
CLIENT SEEKING A MALE FOR THIS ROLE DUE TO SOME SECURITY ASPECTS OF ROLE
A Wholesaler and retailer of automotive replacement parts are currently looking to employ an Admin Supervisor to start immediately, or as soon as possible, at their branch in Johannesburg.
Must preferably come from a Security, Services Administration or Insurance Administration Industry
Job Purpose:
As an Admin Supervisor, you will be responsible for Security Management, day-to-day administration of the vehicles, maintenance of the office, stationery, General Insurance, HR & Payroll Assistance and General Duties.
Requirements:
Grade 12
Tertiary Qualification in Business administration, or a related field (preferred).
HR Experience
Strong leadership and interpersonal skills.
Payroll Experience
Computer Literate (MS Office, Pastel, Autotrack)
Vaid License, Own Transport
Duties include, but are not limited to:
HR & Payroll Assistance
Assist HR Manager to verify and compile Overtime, incentives, leave encashment, loan/leave forms and attendance records through electronic as well as traditional methods. Input the data into payroll system on weekly basis. Report discrepancies and lack of discipline
Assist HR in payroll preparation and verification
Assist HR to initiate Disciplinary Processes
Security Management
Draw up Security policies and procedures in consultation with operational managers
Identify, negotiate and administer security contracts
Train, monitor and manage security guards and liaise with their management performance reviews and addressing short comings
Procure, maintain and monitor alarm systems and CCTV systems through 3rd part vendors
Maintain key holder listings and arrange training
In the case that Alarm goes off at night, be prepared to go to office with Security company (Be 1st contact for Security Companies)
Vehicle Management
Monitor fuel usage of all company vehicles including cars and delivery vehicles. Optimize expenses where possible by working with relevant users and Department Managers. Audit and report any abuse of Fuel Allowance, consumption and discrepancies
Work with fleet in charge in managing fines, e-tills, registration and licensing timely
Investigate incidents/accidents to establish driver recklessness and/or negligence. Attend to crime incidents in any
Track vehicles via Autotrack to check driving habits and to establish abuse and/or unauthorized usage
Maintenance of Building & Office Equipment
Assist with purchase and maintenance of building, communication equipment, office equipment, fire safety and power back up
Liaise with vendors & service providers to secure best possible pricing and quality or repairs
Maintain and safe keep office equipment and all other company property. Assist finance in maintaining asset register with regards to the equipment and user roaster.
Assign and manage duties both interior and exterior of the business premises including gardening and pest control
Travel, Utilities, Stationery and Consumables
Purchase and issue of stationery and consumables within the budget assigned. Negotiate cost and monitor usage
Monitor consumption and billing of utilities such as electricity and water and look for cost efficiency and savings
Arrange business travel after due approvals and as per budget and eligibilities
General Insurance
Negotiate and procure insurance policies for vehicles, equipment, fitting and other assets in consultation with the Finance Manager and maintain documentation as well as insurance relationships.
Investigate, compile, submit and follow up on vehicle insurance and other claims until fully resolved
Undertake to review and renegotiate annual limits in consultation with the Finance Manager
General
Liaise with Branch staff and travel to Branches as necessary
Maintain filing system and file all documents timeously
To safeguard and maintain confidentiality on all sensitive material that you are exposed to
Perform any other duties as assigned from time to time by Management.
