Job Description

1. JOB PURPOSE

The Internal Bookkeeper is responsible for maintaining accurate financial records and supporting the financial health of the company. The role includes managing day-to-day accounting functions such as processing transactions, reconciling accounts, producing financial reports, and ensuring compliance with financial regulations. This position requires attention to detail, confidentiality, and a good understanding of accounting principles and procedures.

2. KEY RESPONSIBILITIE

2.1. Financial Record-Keeping
* Maintain accurate and up-to-date records of all financial transactions.
* Post and process journal entries to ensure all business transactions are recorded.
* Perform bank, cashbook, and credit card reconciliations.
* Manage and reconcile petty cash.
* Maintain general ledger accounts and trial balances.

2.2. Accounts Payable and Receivable

* Process supplier invoices and manage the accounts payable ledger.
* Ensure suppliers are paid on time and resolve payment discrepancies.
* Issue customer invoices and follow up on outstanding accounts.
* Process customer receipts and allocate payments accordingly.

2..3. Payroll Administration

* Capture and process payroll inputs (e.g., leave, overtime, deductions).
* Liaise with payroll service providers, if outsourced.
* Prepare payroll journals and reconcile payroll-related accounts.
* Ensure compliance with statutory payroll deductions (UIF, PAYE, SDL).

2.4. Reporting and Compliance

* Prepare monthly, quarterly, and year-end financial reports.
* Support the preparation of budgets and forecasts.
* Ensure compliance with SARS (VAT, PAYE, Income Tax) and submit returns timeously.
* Assist with external and internal audits.

2.5. Asset and Inventory Management

* Maintain fixed asset register and ensure proper depreciation calculations.
* Assist in stock control and inventory reconciliations, where applicable.

2.6. Administrative and Ad Hoc Duties

* Maintain orderly financial filing systems.
* Assist management with financial queries.
* Support procurement processes with supplier vetting and price checks.
* Perform other duties as required within the scope of the role.

3. QUALIFICATIONS AND EXPERIENCE

Minimum Requirements:

Grade 12 / Matric Certificate.
* Diploma or Certificate in Bookkeeping, Accounting, or related field.
* At least 3–5 years of bookkeeping experience.
* Proficiency in accounting software (e.g., Sage, Pastel).
* Strong Microsoft Excel and general computer skills.
