Job Description

REPORTING RELATIONSHIPS


The Floor Supervisor has the general responsibility of co-coordinating and supervising the end-to-end warehouse activities on a day-to-day basis

Under the direction of the Warehouse Operations Manager, the Floor Supervisor is responsible for supervising the receiving, warehousing, and dispatching of products in a manner consistent with the company service and cost objectives in line with the relevant standard operating procedures

The floor supervisor is the direct operation link into the Rooms Operations Manager and works closely downstream with the Room`s system operator where appropriate

The supervisor needs to update the inbound and outbound load schedules on Monday.com during the day to ensure accurate loading and offloading times. This will be done with the help of handheld tablets provided.

SPECIFIC DUTIES & RESPONSIBILITIES

Dispatching and Receiving

Supervises and co-ordinates unloading of inbound shipments, ensuring that scooter drivers maintain the non-negotiable productivity offload of 28 pallets from a truck within 14 minutes – Targets may vary from room to room, from time to time

Orderly stacking of products and the picking and stacking of outbound shipments by the highest possible levels of productivity

Verifies required inbound\ outbound paperwork with drivers, ensuring that all products are properly accounted for

Participates in the unloading, wrapping, and stacking of all inbound consignments

Participates/facilitates the picking, packing, and staging of orders utilizing the proper “pallet identification label” is affixed onto each pallet

Facilitate the loading of trucks “out”, and the loading/offloading of trailers as required, ensuring documentation accuracy

Makes sure that each inbound consignment is 100% accurate to the relevant documentation

Makes sure that through his “scooter drivers”, stock is shunted into the relevant aisle/s and staged accordingly for the Bendi driver to pack away (using his hand-held scanner and put away functions)

Facilitates and ensures that the daily shift meeting is the norm for all rooms and all shifts

Ensures that quality housekeeping and cleaning is maintained as dictated within the relevant housekeeping standard operating procedure and in-house cleaning roster

Quality

Identifies and recovers any damaged products consistent with the company policy For example, all exposed products must be rejected while a torn case without exposure can be taped and applied to an order

Reports all shortages or excess goods to the Warehouse Operations Manager

Reports quality variances

Is vigilant toward petty pilferage and areas of potential theft of product

Is custodian of all Food Safety and Occupational Health and Safety non negotiables in exercising his duty around statutory law within his circle of influence

Non-negotiable rules – Internal

Is able to print and execute all reports pertaining to our internal NON negotiables within the prescribed timeframes (Igloo reports)
Non-negotiable rules – Supplier specific

Is able to understand, execute and deliver to our CW/external customers non-negotiable rules within prescribed timeframes

Equipment

Working through the facilities manager, his risk and loss control manager, ensures the efficient and safe operation of all materials handling equipment

Ensures that all relevant check lists are up to date and any problems reported and followed up

Has a thorough understanding of the operating protocol’s when it comes to machine accidents and potential injury on duty processes and can ensure the correct data, info gathering, and reporting methodologies are utilized

Scheduling

Participates in establishing work schedules where appropriate, ensures that his operation is complaint to rotational night shift requirement and therefore ensures that all schedules are correctly implemented and that jobs are assigned effectively and completed properly

In doing so, pushes productivity and minimizes overtime to add economic value in his circle of influence
Ensures the optimal utilization of space through warehouse consolidation, reporting timeously to his operational manager as an early warning in cases where his room is nearing capacity – NEVER EVER ALLOW YOUR WH TO BE FULL TO CAPACITY

Ensures off-loaded product are put away as soon as possible or moved to the bottom of Block 1 and 2 temporarily for put way when space is available in shelves, or otherwise directed – This may vary from room to room


Health, Safety, Sanitation, and Security – Safety, health, risk, and loss control

Maintains a clean, neat, and orderly work area, inclusive of outside loading bays, yard, waste and skip area, airlock, battery bay and surrounds as well as own office environment and workstations

Ensure all cleaning and sanitation is done as per the Master Cleaning Schedule and check lists completed as determined by our cleaning schedule

Assists in maintaining the security of the warehouse as determined by our RLCM and our “toolbox of safety initiatives”

Conducts operations in a manner which Promotes safety. Conducts operations in accordance with OSHA standards

Is an ambassador when it comes to our depot`s Covid 19 contribution strategy


Labor Management

Directs the inbound operations of the warehouse work team to achieve prescribed Room objectives, from a receiving, packing, strapping, ensuring product is correctly checked and labelled and “shunted” into the correct pick or home destination – using the required handheld scanner technology

Similarly, and where appropriate, directs the outbound operations in the effective, accuracy and efficiency in withdrawing stock in line with customers’ orders, using the required handheld scanner technology

To complete the inbound and outbound cycle, makes 100% sure that all inbound and outbound stock is thoroughly checked in and or checked out thoroughly to minimize any risk attached to stock entering and or exiting the premises

In collaboration with the Rooms Manager, develops and maintains a productive work team by creating programs for hiring, training and professional development

Matches the skills and background of the personnel to the work required

Applies sound communication and motivation techniques in supervising, counseling, and disciplining subordinates

Recognizes that confrontation is a positive form of feedback to overcome employee problems

Provides input into the performance evaluation system for recommending promotions, wage increases and terminations

Code of conduct

The floor supervisor stands accountable to ensure that all staff under his command are managed in accordance with our code of conduct

This includes all discipline be it from the lowest level of offence up to and including the more severe of offence’s

To this end, the floor supervisor does need intimate understanding of our policy as laid out in the code of conduct, as well as within training recently undertaken

The floor supervisor has the authority to issue written reprimand’s, written warnings, and of course final written warnings ***Making sure that he does check in with his relevant operations manager*** to ensure correctness and consistency

Records

Completes all necessary records such as shift meeting preparations, own CSA (control self-audits), truck pallet offload statistics, own housekeeping audits, where necessary checking in and or load sheets, etc. on time and all the time

Has the ability to conduct “cross over CSA audits “with emphasis on robust debate when it comes to out of line variances

Makes 100% sure that all inbound, internal, and outbound paperwork and invoices are accounted for before close of his shift

Similarly, makes 100% that proper close of shift is maintained, and appropriate end of shift notes + plans for incoming shift are written up and handed over to guarantee a seamless carry over from one shift to the other and then back

Inventory

Assures the integrity and assists in conducting physical inventories, stock counts and or item counts as determined by our Ops manager and or respective client/s

To this end, is able to plan the end-to-end physical Rhodes/Rich`s/Beefcor and or any other customers stock counts

Specifies to each employee that product removal must be by the proper load number and if any deviation exists, it should be with the consent of the relevant Operations Manager and or Systems Operator/RLCM

Under authorization, modifies paperwork so final document agrees to the load number received or dispatched – REMEMBER THIS MUST BE SANCTIONED BY SENIOR MANAGEMENT

Communications

Prepares and attends morning and evening start of shift meetings

Takes appropriate “roll call” to determine any unauthorized absenteeism, then relays this down to Operations Manager and or day shift where appropriate for action in full team Thursday warehouse meetings.

Interacts with Management, customers, and employees ongoing

To this end, is able to represent Chilleweni within weekly/regular Rhodes, Rich`s, Beefcor and or any other customer get together`s and or weekly meetings

Has the ability to “call it” as he “sees it” irrespective of the department, room and or level of authority he engages

Acts as a liaison between employees and top management is custodian of our value of effective communication

QUALIFICATIONS



A: Preferred education level

High school certification

B: Experience (the minimum level of direct experience in a similar position)

12 months
C: Knowledge/Experience/Skills

Good understanding of modern warehousing and complete understanding of accurate inventory keeping

D: License or Certificate Required
Valid driver’s license

Forklift driver certification

Scooter license

Bendi license
